INCLUSIVENESS TARGET COUNTRIES (ITC) CONFERENCE GRANTS

Objectives

The Inclusiveness Target Countries Conference Grants (ITC Conference Grants) are aimed at supporting Young Researchers and Innovators (YRI) < 40 years old  and PhD students from participating Inclusiveness Target Countries (IT1)1 to attend international scientific meetings related to the topic of the Action, meetings that are not organized by this COST Action.

1 ITC currently participating in CA19105: Bosnia and Herzegovina, Bulgaria, Croatia, Czech Republic, Estonia, Greece, Hungary, Latvia, North Macedonia, Poland, Portugal, Romania, Serbia, Slovenia, Slovakia, Turkey

Eligibility criteria

  • ITC Conference Grants are exclusively reserved for PhD students and YRIs engaged in an official research programme and primary affiliated in an institution located in an ITC.
  • The applicants are obliged to have an oral or poster presentation at the conference, and must be listed in the official programme of the event.
  • The main subject of presentation must be on the topic of the Action and provide an acknowledge to the COST as follows: This work was supported by an ITC Conference Grant from the COST Action CA19105 Stratagem.
  • Attendance at European meetings is preferred. However, conferences held elsewhere can also be considered. In addition, the Core Group of Management Committee (MC) may indicate meetings of particular interest for the Action, for which the representation from ITC will be encouraged.

When to apply

There are 3 calls for grants: 10.12.2021 – 15.02.2022; 15.03 – 30.04.2022; 15.05 – 30.06.2022.

Depending on the remaining budget, one more call would be possible.

Applications have to be sent within these time frames and will be evaluated within one week. Upon acceptance, positively evaluated applications will be supported within the available budget according to Application evaluation criteria and points scored.

How to apply

  • Applications are made through on-line application form available here.
  • Applicants must read funding rules detailed in Section 9 of the COST Vademecum.
  • Applicants must create e-COST profile at https://e-services.cost.eu
  • After registration, applicants can initiate the application by pressing “Create Conference Grant Request”

  • The submitted ITC Conference Grant application form (downloadable when the on-line application is submitted – see first point above).
  • Required Information: Applicant details, Conference details (the end day must be before 10th of October 2022), Bank details, Financial support, supporting documents.
  • Required supporting documents: Curriculum vitae, short description of your involvement in the Action, letter which confirms acceptance3 of your presentation, copy of the submitted abstract.
  • The application should be submitted at least 30 days before conference start date. The notification from e-COST will be received to confirm the submission.

3 Grant application can be submitted before the Letter of acceptance of the abstract received. If so, the applicant provide written statement that the Letter of acceptance will be delivered to the ITC CG Coordinator immediately upon arrival.

The final decision on the Grant application acceptance or rejection will be made only when the Letter of acceptance received.

Evaluation

The Actions MC delegated the evaluation of the ITC Conference Grant applications to ITC Grant Committee composed by the ITC Grant Coordinator Snjezana Petrovic (snjezana.petrovic@imi.bg.ac.rs), and 5 ITC Grant Committee members: Lejla Alic (lejla.alic@mf.unsa.ba), Maria Balazova (maria.balazova@savba.sk), Thierry Durand (thierry.durand@umontpellier.fr), Toni Petan (toni.petan@ijs.si), Ottar Rolfsson (ottarr@hi.is).

The evaluation of each received ITC Conference Grant application will be performed by the ITC Conference Grant Coordinator and at least two other ITC Conference Grant Committee members. Final decision will be made by the Grant Awarding Coordinator.

Application evaluation criteria:

  • Curriculum vitae of the applicant (0-3)
  • Relevance to the CA19105 goals (0-3)
  • International conference in a country other than the applicant’s country (2)
  • International conference in the applicant’s country (1)
  • Oral presentation (2)
  • Poster presentation (1)

Financial support

The ITC Conference Grant is a fixed financial contribution which takes into account the outcome of the evaluation of the application, the duration and location of the venue, the budget request of the applicant and the available budget for ITC Conference Grants. The ITC Conference Grant do not necessarily cover all of the expenses related to participating in a selected meeting.

The calculation of the financial contribution for each ITC Conference Grant will respect the following criteria:

  • Up to a maximum of EUR 160 per day can be afforded for accommodation and meal expenses
  • Up to a maximum EUR 500 can be claimed for the conference fees
  • Up to EUR 2500 in total can be approved to for each successful applicant

The applicant needs to provide documentary evidence of the conference fee amount.

When accommodation and meal expenses are supported by the hosting institution as a part of the provisions offered in their conference package, the amount for subsistence afforded to each eligible participant must be deducted from the Grant.

Reporting and payment

The ITC Conference Grant grantee has 30 calendar days from the end date of the mission to submit a scientific report (template at: http://www.cost.eu/ITC conference grant report template ). The Certificate of Participation or copy of the programme showing the applicant’s contribution, should be provided as an annex. The submission of the report is mandatory, failure to comply will result in cancellation of the Grant.

Payment of the grant is subject to approval of the report by the ITC Conference Grant Coordinator.
